Are you an organised Administrator with excellent attention to detail and a passion for delivering great customer service?

We are recruiting on behalf of a successful and growing business seeking a proactive Administrator to join their Quality Assurance team. This is a varied role combining administration, customer service, order processing and coordination duties, making it ideal for someone who enjoys working in a busy office environment and managing multiple priorities.

The Role

As an Administrator, you will play a key role in ensuring the smooth running of departmental operations through accurate record keeping, customer support and effective coordination of equipment, orders and documentation.

You will be responsible for maintaining accurate records, supporting customers with enquiries, processing orders and quotations, and coordinating collections and deliveries.

Key Responsibilities

Administration & Order Processing

  • Maintain and update documentation and departmental records
  • Log and track incoming equipment for calibration
  • Maintain the QA Order Book and customer order records
  • Prepare and issue quotations, following up outstanding quotes
  • Raise and manage sales orders and purchase orders
  • Set up and maintain customer accounts
  • Process customer payments securely via card payments

Customer Service

  • Provide excellent customer support via telephone and email
  • Assist customers with orders and general enquiries
  • Manage standing orders and recurring customer agreements
  • Send calibration reminders and follow-up communications
  • Build strong relationships with customers and provide a professional service

Coordination & Logistics

  • Arrange collections and returns using couriers and internal drivers
  • Liaise with courier companies to resolve delivery and collection issues
  • Ensure equipment movements are accurately recorded and tracked

General Office Support

  • Maintain accurate filing systems and databases
  • Support the wider QA team with administrative tasks
  • Assist with process improvements and continuous development initiatives

About You

To be successful in this role, you will have:

  • Previous experience in an administrative position
  • Excellent organisational skills and attention to detail
  • Strong written and verbal communication skills
  • The ability to prioritise workload and meet deadlines
  • Good customer service skills
  • Experience using Microsoft Office, including Word, Excel and Outlook
  • The ability to work both independently and as part of a team
