SO - Warehouse Despatch Administrator UK
What is your role?
The Warehouse Despatch Administrator must ensure the accurate and timely processing of work requests, while maintaining the integrity of information from sales and samples orders. Success in this position is measured by the achievement of department KPIs, with a focus on delivering production and samples orders to customers without issues.
What are your responsibilities?
· Develop and maintain strong relationships with your external and internal customers, including the Sales and the Warehouse departments.
· Ensure a robust and timely system is applied to all tasks.
· Assist the Sales division where possible to provide accurate responses to requests and enquiries.
· Maintain a high degree of accuracy to ensure all orders contain the correct product and matching specifications for the customer to review.
· Ensure any quality or stock issues are addressed with your manager.
· Identify jobs that may not be completed to timescales, understand the root cause and effect of any inefficiencies and seek solutions.
· Maintain a high level of product knowledge and awareness of presentation.
· Complete all relevant in-house system training and adhere to all standard operating procedures (SOPs).
· Ensure all emails are addressed within 4 hours of receipt.
· Answer queries raised by internal and external customers using e-mail and notifications.
· Use in-house system Business Central (BC) to identify what stock is required and to identify new requests.
· Ensure no errors are introduced into BC.
· Process all Production/Samples Orders and complete all associated administration.
· Achieve daily KPIs, ensuring samples orders are raised and dispatched on specified dates. Address same-day despatch for any sample requests received by daily cut off (will allow future variation). If stock is unavailable, correct and dispatch within 24 hours.
· Check all shipments maintain delivery service integrity in line with original sales order.
· Housekeeping duties on Warehouse, Despatch and Samples department.
· Ensure all courier returns are logged within a 12-hour period, liaising with Sales and Customer Service for any large orders.
· Support PI Counts (Perpetual Inventory Counts) both onsite and at the company's external storage warehouse.
What are your qualifications?
· Minimum GCSEs in Math and English; A-levels/vocational preferred.
· 1-3 years admin experience in a manufacturing setting; despatch ops experience is a plus.
· Proficient in Microsoft Office and ERP systems.
· Knowledge of PF products beneficial.
· Strong communicator.
· Customer focused.
· Effective under pressure.
· Strong attention to detail.
