Hours: Monday - Friday 37.5 hours

About the Role

Our client is currently seeking a highly organised and motivated Personal / Team Secretary (Band 3) to join their Mental Health, Learning Disability and Community Wellbeing service.

This is an excellent opportunity for an experienced administrator to provide essential secretarial support to a Team Leader while helping ensure the smooth and efficient running of a busy department.

Key Responsibilities

  • Provide comprehensive secretarial support, including diary management and scheduling meetings/appointments
  • Deliver high-quality typing and document preparation from audio, notes, and dictation
  • Organise and support meetings, including minute-taking and distribution of documentation
  • Handle incoming and outgoing correspondence, including emails, post, and telephone enquiries
  • Maintain accurate records, filing systems, and databases
  • Liaise professionally with internal teams, external agencies, and stakeholders
  • Manage email accounts and communications on behalf of senior staff
  • Support complaints handling processes, including organising meetings and compiling responses
  • Assist with data collection, reporting, and spreadsheet management
  • Provide general administrative support across the team and cover for colleagues when required
  • Ensure strict adherence to confidentiality and data protection standards

What We're Looking For

  • Strong organisational and time management skills
  • Excellent communication and interpersonal abilities
  • High level of accuracy and attention to detail
  • Experience using Microsoft Office (Word, Excel, Outlook)
  • Ability to work both independently and as part of a team
  • Experience in administration or secretarial roles (healthcare experience desirable)
  • Ability to prioritise workload in a fast-paced environment
