About the Role

We are recruiting for a highly organised and proactive Operations Administrator to join a fast‑paced, production‑focused business based in Derby.

This role is central to ensuring materials, planning, scheduling and communication flow seamlessly across the operation. You will act as the link between planning and production, making sure that all materials, resources and information are in the right place at the right time.

Key Responsibilities

  • Schedule production jobs to meet customer delivery deadlines.
  • Balance workloads across production teams and machinery.
  • Flag scheduling conflicts early and propose workable solutions.
  • Adjust schedules in response to material availability or urgent orders.
  • Maintain accurate, up‑to‑date schedules across all systems.
  • Log all schedule variances.
  • Hold a daily meeting with the Production Manager to confirm the plan is on track.
  • Check and book in fabric deliveries.
  • Maintain stock systems.
  • Prepare and print all necessary factory paperwork.
  • Order required components and materials.
  • Chase suppliers for updates, delays, and quality issues.
  • Track late purchase orders using the daily PO report.
  • Collaborate with Quality teams to ensure all goods meet required standards.
  • Ensure the warehouse is aware of inbound deliveries and that all goods are booked in accurately.
  • Maintain a live Shortage List with ETAs and resolution dates.
  • Keep stock and scheduling systems updated daily.
  • Track material shortages, delays, and substitute materials.
  • Ensure all manufacturing paperwork is accurate for the shop floor.
  • Double‑check all dependencies and availability to reduce errors.
  • Update Customer Service on any delays that may affect customer delivery dates.
  • Inform the Transport Manager of any issues that could impact dispatch.
  • Proactively flag risks to senior management with recommended solutions.

What We're Looking For

  • Experience working in a fast‑paced, high‑pressure environment
  • Confident communicator across multiple departments
  • Strong customer focus
  • Proficient in Excel, including report creation
  • Highly organised with excellent attention to detail
  • Experience in scheduling, production administration, planning or supply chain
