Job Title: Business Support Officer

Location: Council Offices - Newry

Salary: £14.52/h

Hours: 36h per week

Access NI Check: Basic


Main Purpose of the Role

To deliver a comprehensive and flexible administrative Business Support Service across a range of Council functions and departments. This includes maintaining service standards, ensuring efficient processes, and providing excellent customer service to both internal and external stakeholders. The role supports the Council's Corporate and Business Plans by contributing to a modern, professional, and customer-focused service.


Key Responsibilities

  • Administrative Support:
    • Provide confidential and seamless business support to multiple Council Officers, acting as a key point of contact for services or departments.
    • Deliver cross-departmental administrative cover as required.
  • Customer Service:
    • Provide a high standard of customer service, including reception duties and liaison with internal teams, external agencies, and the public.
    • Take ownership of customer queries and complaints, ensuring timely resolution.
  • Data & Document Management:
    • Maintain and process data across manual and electronic systems, including filing, archiving, retrieval, and accuracy checks.
    • Transfer data to other agencies in line with statutory or service-level requirements.
  • Financial Administration:
    • Process financial transactions, including receipts, credit card payments, bank lodgements, invoices, purchasing, stock control, and budget monitoring in accordance with Council regulations.
  • Meetings & Reports:
    • Organise meetings, prepare agendas, take minutes, distribute documents, and follow up on actions.
    • Prepare reports and manage correspondence within agreed timescales.
  • Booking & Requisition Systems:
    • Operate and monitor manual and computerised booking systems in line with approved procedures.

  • Excellent communication and customer service abilities.
  • Proficiency in Microsoft Office and data management systems.
  • Ability to prioritise tasks and work to deadlines in a fast-paced environment.
