Donor Administration Assistant
Band 2
Belfast
37.5 hours per week
£12.51p/h
KEY DUTIES / RESPONSIBILITIES
· Maintaining security of all equipment, and documentation, within own area of work
· First point of contact for donors via the telephone or in our HQ Clinic
· Use of Donor records system to access donor's records and make changes where required
· Reconciliation of all donation records, and reporting any anomalies to the appropriate person
· Undertake any other reasonable, relevant, duties that may be assigned
· Monitoring appointments on a daily basis
· Contacting donors who have been identified as meeting a pre-set criterion for specific recipients
· Contacting blood, and platelet, donors to ensure appointment slots are fully booked
· Contacting new Platelet donors to arrange appointments
· Registration duties
· Making appointments for donors
· Responding to donor queries by telephone and email. Liaising with other departments to resolve queries
· Reconciliation of all donation documents
· Updating donors' electronic records
· Informing relevant departments of predicted collection figures
· Assist with the updating/creation of Standard Operating Procedures
· Texting appointment reminders
· Keeping up to date with all mandatory training, and any other training required to carry out the role
Essential Criteria
- Minimum of 1 years' clerical/administration experience, which MUST include working face to face with the public or 2 years' experience, if the qualifications listed below are not held.
- 4 GCSEs at A-C level, including English Language (or equivalent)
- Able to work flexibly, including late evenings, weekends and Public Holidays.
Use of computer packages e.g. Microsoft Excel, Word and Outlook 5. Dealing with the public 6. Good attendance record Application Form / Interview
