PA TO MAJOR OF BEDFORD BOROUGH COUNCIL.

£16 PER HOUR, FULL TIME HOURS.

To ensure the smooth running of the Mayor's office through managing an efficient
and organised support Unit, taking responsibility for the organisation of workloads
and the development of appropriate procedures and controls required to be in
place to undertake the work involved.
· Personally to act as the Mayor's PA, which includes the following:
o Managing all aspects of the Mayor's schedule, maintaining a balance of
commitments to enable the Mayor to carry out all aspects of his role as the
Council's political leader
o Organising, facilitating and, where required, attending meetings and
appointments for the Mayor for the purpose of taking minutes
o Ensuring that visitors to the Mayor's office are received appropriately
o Ensuring that the Mayor is fully briefed on his diary commitments and has
all the necessary papers for all meeting he is required to attend at least 24
hours beforehand
o Responding to routine correspondence and enquiries on Behalf of the
Mayor and co-ordinating responses on more complex issues
o Progress chasing projects as required by the Mayor
o Acting as the interface and providing a comprehensive and professional
service in representing the Mayor and the Mayor's Office to all external and
internal parties including local, regional and national bodies, other local
authorities, Councillors and Officers.
· To ensure that civic and ceremonial events which the Borough Council is
responsible for organising alone or in conjunction with other organisations, are
planned and managed appropriately having regard to protocol and precedence,
budgetary constraints and the Mayor's aspirations for the event.
· To manage the civic and ceremonial budget, ensuring that expenditure against
that budget is monitored effectively.
· To ensure that the Mayor, Deputy Mayor, Speaker and Deputy Speaker are
appropriately briefed and supported when representing the Council at external
civic engagements.
· To ensure that effective processes are in place for dealing with the Mayor's
casework in a timely manner, and that performance standards for dealing with
casework are met.
· To provide expertise and carry out work on all current and future computer based
applications used in the Mayor's office, with particular emphasis on Microsoft
Office software to enable the production of high quality and informative
documents.
· To set up, maintain and review a variety of manual and computerised record
systems to facilitate the smooth running of the Mayor's office and ensure that all
information held is accurate, complete and current.
