Administrator/Receptionist

To provide a professional, friendly and efficient administration and reception service for an educational environment.
Provide a professional, efficient and welcoming reception service for visitors to the organisation.

  • Receiving, signing in and dealing with or directing parents and other visitors as appropriate.
  • Operating the main switchboard, transferring calls, or taking and delivering messages as appropriate.
  • Responsible for contacting staff via radio control / bleep system and delivering messages as necessary.
  • Administration of internal and external mail.
  • Receiving and sorting incoming mail for delivery to appropriate staff.
  • Recording, stamping/franking and posting outgoing mail.
  • Ensure  that  allocated  work  is  completed  accurately  and  efficiently  within  the  required timescales.
  • Maintaining the accident report register and completing all relevant paperwork required as part of the accident reporting procedure.
  • Assist with the induction of any new member of the office administration team.
  • Undertake the necessary training and act as an first aider for students, staff and
    visitors.

     Additional Responsibilities:
     You will act as part of a team providing administration and reception services for the organisation. As part of your role you will be required to perform a selection of the duties below. The range of duties allocated to you may be varied at the discretion of the Administration Services Manager.
  • Provide an efficient administrative support service for all members of the Senior Leadership
    Team including but not exclusive to:
    • Communication with external parties verbally and in writing.
    • Design and production of notices, fliers, booklets, newsletters and similar materials / information to support the activities of the senior leadership team.
    • Arrangement and coordination of meetings and ensuring facilities are booked and refreshments arranged as required.
    • Production and circulation of agendas and notes for meetings to ensure that participants receive them in good time for the meeting.
    • Taking minutes at meetings if requested

  • Administrative arrangements for transfer of students into and out of the organisation including:
    • Production and circulation of all necessary documents and letters.
    • Assistance with the organisation of arrangements for student induction days.


  • Use the Evolve system to assist with the administration of internal and external enrichment activities and trips including:

    • Maintenance of logs and registers of participants.
    • Production of letters.
    • Administration of parental consent forms where required.
    • Administration of any relevant health and safety paperwork.
    • Booking of facilities, events, travel, refreshments as required.


 Administration relating to 6th form students:

  • EMA admin and payments.
  • Registering for and issuing travel pass applications, student union cards, certificates for banks and associated tasks.
  • Assistance with UCAS administration.
  • To assist with the school uniform enquiries and sales and to issue and administer loan uniform to students.
  • In conjunction with the Community Hire Supervisor take responsibility for the administration of bookings for the hire of the organisations facilities, providing an efficient service to hirers.
