Role Objective:



This role is to provide administration assistance and deal with clients and sub-contractors queries and questions.


Key Responsibilities:
  • Administration and secretarial support
  • Maintenance of individual contract files
  • Second point of contact between sales team and clients/subcontractors
  • Taking enquiries from regular clients in Sales Account Director's absence
  • Actioning any requests internally and externally
  • Handling incoming calls
  • Receive visitors and ensure their details are entered into the Visitors Book
  • Issue visitors' badges and retrieve on departure
  • Liaison with subcontractors, obtaining quotes for hired in equipment
  • Preparing and franking mail
  • Typing of proposals, letters, faxes, acknowledgements and inter-company orders
  • Get Director's Planning Meeting files out for weekly Planning Meeting and prepare reports
  • Complete invoice additions/reductions
  • Monitoring the return of order agreements and credit application forms
  • Invoices & purchase orders
  • Photocopying of documents and plans
  • Production of excel spreadsheets as required
Experience:
  • 1 year admin/secretarial support
  • Experience dealing with contracts/accounts
  • Strong customer service experience
  • Ability to multi-task
  • Advanced word and excel skills
  • Experience with above duties
