JOB TITLE Administration Officer
LOCATION Prologis Park, Coventry
PAY RATE £7.40ph
CONTRACT TYPE Temporary ongoing

JOB PURPOSE

To provide a high quality administrative support to the Intervention Archive Department, and to provide excellent customer service when dealing with requests from clients.

KEY RESPONSIBILITIES
  • Inspect and analyse client files, original legal documents and accounting material recovered from Interventions

  • Determine ownership of files and documents

  • Receive, assess and acknowledge incoming documentation and direct appropriately

  • Log incoming post onto our in house database and create physical files

  • Link incoming documents to existing applications and update records

  • Assess and prepare applications to ensure completeness and submission of supporting evidence

  • Interrogate databases and spreadsheets to locate information regarding interventions, requests and files and documents.

  • Handle incoming telephone calls from clients, solicitors, agents suppliers and other internal and external customers, provide information about the department and updates on cases

  • Dispatch post, courier items and faxes

  • Provide excellent customer service to internal and external customers

  • Ensure all aspects of confidentiality are strictly observed
  • Provide support as and when required to the Team Leader Any other tasks which will be in line with customer and business needs.


KEY SKILLS & QUALIFICATIONS
  • GCSE Maths and English

  • Good knowledge of MS office and a working knowledge of general IT systems

  • Excellent communication skills both oral and written with the ability to communicate at all levels

  • Excellent customer service skills - the ability to effectively communicate with demanding customers

  • Excellent organisational skills and ability to prioritise work.

  • Ability to work unsupervised and using own initiative.

  • Ability to work to tight deadlines

  • Excellent attention to detail and accuracy whilst working in a busy office environment

  • To work as part of a team

  • Proven experience in an administrative role

  • Flexibility, commitment, resilience and reliability under pressure
